How we calculate
- Step cost: number of documents × minutes per document × hourly rate.
- Corrections: documents needing corrections × extra minutes × the average rate of your steps.
- Full-time staff: 160 working hours per month.
- Saving: process cost × your assumption. We do not state up front how much can be removed - that depends on the process and only comes out of an analysis.
The calculator leaves out paper, printing, archiving and the cost of delays, such as missed early-payment discounts. The real cost of a process is usually higher.
Frequently asked questions
Which processes does the calculator work for?
Repetitive processes counted in units: purchase invoices, orders, acceptance reports, delivery documents, job cards, service orders. For one-off projects it is better to simply tell us what you want to build.
How do I find out how long a step takes?
The easiest way is to time a few documents or ask the people who handle them. An approximation is enough: with hundreds of documents a month you will still see the order of magnitude.
Which hourly rate should I enter?
The employer's cost, not net pay: gross salary plus employer costs divided by the hours worked in a month. If you do not know the rates, use the department average.
How much cost does automation remove?
It depends on the process. Simple automation removes retyping and passing documents around, while a custom system can take over most steps. That is why you set the assumption yourself, and we give a specific number only after analysing your process.
Is the data I enter sent anywhere?
No. The calculator runs in your browser and stores nothing on a server. The data reaches us only if you send the contact form yourself.
